Financial & Expense Administration: Process and handle daily expense reporting and reimbursements, assist with month-end accruals, and manage costs related to new warehouse site searches, lease obligations, property fees, utility networks, and other operational expenditures. Regularly conduct vendor bill reconciliation to ensure billing accuracy. Procurement & Vendor Management: Manage the end-to-end procurement of daily office supplies, warehouse consumables, packaging materials, and loading/unloading equipment. Maintain strong relationships with suppliers to ensure competitive pricing and steady inventory. Asset & Equipment Maintenance: Execute asset registration (establishing inventory records) for new materials. Oversee equipment leasing contracts, scheduled maintenance, major overhauls, and associated cost reimbursements. Coordinate specialized skills training and handle the issuance of internal on-the-job qualification licenses. Fleet & Vehicle Management: Supervise company vehicle assets, ensuring timely coordination of routine maintenance, overhauls, insurance updates, and vehicle license renewals. Facilities, Network, & Environmental Upkeep: Troubleshoot and manage repairs for critical facility infrastructure (water, electricity, lighting, HVAC systems, industrial doors). Ensure local network security and resolve IT/troubleshooting issues. Oversee general warehouse hygiene, commercial cleaning schedules, and waste/cardboard recycling disposal. Health, Safety, & Risk Control: Direct periodic inspections and maintenance of all fire-fighting and safety equipment (e.g., guardrails and safety harnesses). Install and monitor alarm and surveillance systems, perform proactive safety inspections, control workplace hazards, and strictly enforce workplace safety protocols.
Education: College diploma or Bachelor’s degree from an accredited institution. Experience: Proven experience supporting administration within a supply chain, logistics distribution center, or manufacturing environment. Minimum of 1+ years of experience overseeing operational or administrative management models in the logistics or industrial sector. Financial/Accounting Experience: Foundational knowledge or prior experience in basic accounting and financial administration (e.g., expense reporting, reconciliations, and accruals) is highly preferred.
