Support the executive team with scheduling, reminders, follow-ups, emails, document organization, and general administrative tasks. Help manage daily office needs, including ordering supplies, keeping records organized, coordinating with vendors, and supporting basic office operations. Communicate with suppliers, including Chinese-speaking suppliers, to follow up on pricing, samples, product details, orders, shipping status, and delivery timelines. Assist with purchasing and sourcing items such as office supplies, packaging, products, materials, equipment, and other business needs. Track important information such as supplier details, purchase records, invoices, delivery dates, and task follow-ups. Help coordinate internal tasks between management, operations, warehouse, production, marketing, and other team members when needed. Assist with special projects, research, company documents, and other tasks based on business needs.
Fluent in English and Chinese/Mandarin , both written and spoken. Strong communication skills and comfortable speaking with suppliers, vendors, and team members. Highly organized, detail-oriented, and able to manage multiple tasks at the same time. Reliable, punctual, responsible, and able to follow through without constant reminders. Comfortable using email, Microsoft Office, Google Sheets, Google Docs, and basic online tools. Able to work independently while also supporting the team. Comfortable working in a fast-paced environment where tasks may change based on company needs. Previous experience in administration, executive assistance, office coordination, purchasing, or supplier communication is an asset.
