Accounting Operations Accounts Payable (AP): Verify and process vendor invoices in compliance with company policies Enter invoices into QuickBooks Online (QBO) with proper documentation Reconcile vendor statements and promptly resolve discrepancies Prepare and execute payment runs (cheques, EFT/ACH, wires) Monitor cash flow and issue remittance advice to vendors Accounts Receivable (AR): Monitor and follow up on outstanding receivables Apply and reconcile customer payments in QBO Prepare weekly AR aging reports and liaise with clients on payment matters Collaborate with internal teams to resolve billing issues Bank, Credit Card & Petty Cash Reconciliation: Reconcile bank accounts, company credit cards, and petty cash balances Process intercompany transactions and resolve unmatched items Conduct physical cash counts and ensure QBO records are accurate Invoicing and Reconciliation: Prepare and issue invoices for key clients Perform reconciliation of client transactions and intercompany charges Maintain organized records to support audits and financial reporting Office & Manufacturing Administration Manufacturing Supplies Support: Issue and track purchase orders based on departmental needs Follow up with vendors to ensure timely delivery and resolve shipment issues Maintain procurement records and delivery documentation Office & Reception Administration: Oversee daily office operations and ensure a clean, organized workspace Manage inventory for pantry, cleaning, and office supplies Order and track stationery and printing materials (e.g., labels, toner, paper) Handle all incoming and outgoing mail and courier packages Greet and assist visitors in a professional and friendly manner Answer and direct incoming phone calls, taking accurate messages when needed Coordinate meeting room bookings and support internal scheduling Arrange maintenance for office equipment (e.g., printers, copiers) Perform general administrative duties such as filing, data entry, and document control
Diploma or degree in Accounting, Business Administration, or a related field Minimum 2 years of experience in accounting and/or office administration Proficiency in QuickBooks Online and Microsoft Office Suite Strong organizational, communication, and customer service skills Ability to multitask, prioritize, and work effectively in a fast-paced environment Languages: Proficiency in English and Mandarin is required
