Job Responsibilities Lead & Client Support Respond to and log incoming client inquiries (WeChat, website, Xiaohongshu, etc.) Assist in qualifying leads and gathering initial project requirements Schedule site visits, consultations, and follow-up calls Maintain CRM records (Odoo or equivalent) with up-to-date client and project data Quotation & Documentation Assist in preparing draft quotations, estimates, and scope summaries based on input from the project lead Organize project folders, contracts, design files, and approvals Use and update templates for pricing, materials, and service packages Project Coordination Support Help track project timelines, materials, and deadlines Follow up with clients on documentation or approvals when required Communicate with internal teams (design, millwork, construction) to relay updates or changes Workflow & Admin Assistance Keep Notion, Monday, or other project management tools current Prepare meeting notes, summaries, and weekly follow-up lists Contribute to internal process improvements (template organization, document versioning, etc.)
Strong attention to detail, especially in writing and documentation Excellent communication skills (written and verbal) in English; Mandarin is an asset Proficiency with Microsoft Excel, Google Docs, and CRM/project tools (Notion, Odoo, Monday.com preferred) Ability to multitask, stay organized, and meet deadlines Willingness to learn about design, construction, and custom millwork processes
